I checked the schedule for next week and Wednesday looks easiest for me.
If that still works on your side, we could start around noon, go over the room list, and then sort the supplies by area instead of by owner.
I think that approach will save time because we already know which tables belong in each section.
I can also bring labels and extra tape.
For lunch, a short break at the café nearby makes sense, then we can finish the signup sheet and confirm the final headcount before heading out.

Marriot

Your recent stay has opened access to a home sleep package

Because you stayed at a Marriot Hotel or a Marriot partnered hotel within the past year, you may receive one 2-pillow luxury cooling set per household, provided at no charge. After a very brief questionnaire is completed, you can also claim a 2-night stay at select locations at no charge. You will not be billed for the pillows or the qualifying stay nights. Total pillow allocation is 800 sets. Ends Tomorrow.

View pillows + 2-night stay

What this includes

This outreach is available to you because you stayed with us or a partner hotel within the past year. Complete the short questionnaire to confirm shipping details for the pillow set. Once submitted, the associated 2-night stay at select locations may also be claimed through the same process, subject to program scheduling.

Notes on the luxury cooling pillow set

Designed to help regulate surface temperature during the night

Often supports more consistent airflow through the fill and cover materials

Can assist with reducing the heavy, heat-trapping feel of standard pillows

Usually made with a smooth outer cover intended for a crisp, comfortable touch

Suitable for keeping a guest-room feel that many travelers prefer at home

A two-pillow set works well for replacing both sides of a bed setup at once

Availability is determined by program allocation and household verification. Access to stay dates and select locations is arranged according to scheduling within the program.

Thanks for choosing a Marriot Hotel. We appreciate the time you take to share a few quick details so this shipment and the related stay information can be processed accurately.

That plan sounds workable to me, especially if we split the setup into two parts.
First we can review the seating chart and move the larger items before anyone else arrives.
After that, sorting paperwork by group should be much easier because the names will already be organized by table section.
I also think it would help to keep one extra folder for late changes so the main stack stays clean.
If weather stays steady, we could walk over afterward and check the side entrance measurements too, just to avoid guessing on delivery day.
