Yes, that timing works well for me, and I think keeping the plan simple will help everyone stay on track.

I would send the updated notes by mid-morning so people can look them over before the discussion starts. If you want, I can also shorten the outline because the longer version had a few repeated points that probably are not needed. I went through the notes this morning, and I think your second idea is the clearer route because it keeps the schedule readable for everyone.

If the room is still available, I would keep the same location rather than move it again. Changing the place each time seems to slow things down, and half the group ends up asking for directions at the last minute. Also, the smaller table near the window worked surprisingly well, so I would ask for that spot first before we rearrange anything else.

About the checklist, I think we should trim the extra lines and let each person keep one shared version instead of making duplicate copies. It will probably mean fewer updates and less back-and-forth later. Sam said she can take care of the opening notes, and Jordan is fine reviewing the summary before we send it around.

As for Friday, late afternoon is not ideal for me, but I can make early afternoon work. If that does not fit the group, we can shift to Monday and keep the same format without much trouble.
