I had meant to reply earlier about the room setup, and yes, moving the larger table toward the window makes more sense because it leaves a clearer path near the door.

If you are still sorting out chairs, I would keep two extras folded nearby rather than spreading everything out at once.

For the notes, a simple printed sheet is enough, and I can bring pens if that helps.

Also, regarding the playlist, softer instrumentals at the start would be better while people are settling in, then something a little brighter later in the afternoon.

If you need help timing the breaks, I would put one midway through the first session and a shorter pause before wrapping up.

I can arrive a little early to check signage and straighten the side table, so just let me know which entrance will be open and whether we should use name cards.

For the schedule next week, I would keep the first morning fairly open because people usually need a little extra time to get settled and find the right room.

If your question was about food, I think simple options are easiest, especially if everyone is arriving at different times.

The soup idea sounds good, and a tray of bread with fruit on the side would cover most preferences without much fuss.

About the printed handouts, I would trim them down to one page and keep the rest as a follow-up note afterward so no one feels buried in details.

You asked whether the sign should go in the hall or near the stairs, and I would use both if possible, even if one is just a small arrow on plain paper.

If anything changes, send me the revised timing and I will adjust my part to fit around it.
